70% reduction in time per consultant screening CVs, automated outreach, automated interview scheduling, automatic shortlist generation.
Background
The client is a recruitment business carrying a high volume of live roles across its client base. Too much recruiter time was being lost to manual tasks. CV screening, candidate outreach and interview coordination had become the dominant drain on capacity, leaving less room for the work that actually drives placements. The business wanted to automate the repetitive parts of the recruitment workflow while keeping human judgement at the centre of every decision.
Challenges
Manual CV screening at volume Reviewing applications across a high number of live roles was placing significant strain on recruiter capacity. The volume of submissions made it difficult to assess candidates consistently and at the speed clients expected, creating a bottleneck early in the placement process.
Inefficient candidate outreach Initial outreach to prospective candidates was largely manual, requiring recruiters to draft and send communications individually. This reduced the volume of candidates that could be engaged at any one time and slowed the pace at which pipelines could be built.
Interview coordination overhead Scheduling and coordinating interviews between candidates and clients consumed recruiter time that was better directed at managing relationships and progressing live searches. Delays in coordination reflected poorly on the business and extended placement cycles unnecessarily.
Solution
AI-assisted recruitment workflows were implemented to automate candidate screening, shortlist generation and recruiter support processes, with human oversight retained at key validation points throughout.
Automated Candidate Screening
AI-assisted screening was introduced to assess incoming applications against role criteria, filtering and ranking candidates based on relevance before recruiter review.
Shortlists were generated automatically from screened applications, presenting recruiters with a prioritised view of the strongest candidates rather than an unfiltered volume of submissions.
AI-Supported Candidate Outreach
Outreach workflows were automated to handle initial candidate communications at scale, enabling a higher volume of candidates to be engaged simultaneously without increasing recruiter workload.
Messaging was personalised to role and candidate profile, maintaining the quality of engagement while removing the manual effort of individual outreach.
Streamlined Interview Coordination
- Interview scheduling and coordination were automated within the workflow, reducing the administrative burden on recruiters and minimising delays between candidate progression stages.
- Automated reminders and confirmations reduced the risk of missed or rescheduled interviews, improving the experience for both candidates and clients.
Human in the Loop Validation
Recruiters retained oversight at each critical stage of the process, reviewing AI-generated shortlists and outreach before progression to ensure quality and commercial judgement remained central to every placement.
The human in the loop model ensured that automation improved efficiency without compromising the standards of assessment that clients and candidates expected.
Results
Significant reduction in manual screening time AI-assisted screening and automated shortlist generation delivered a 60 to 70 per cent reduction in time spent on manual CV review, freeing recruiter capacity for work that drives placements.
Faster candidate placement cycles Automating the administrative stages of the recruitment process accelerated the pace at which candidates moved through the pipeline, reducing overall time to placement and improving responsiveness to clients.
Increased candidate engagement capacity Automated outreach allowed recruiters to engage a significantly greater volume of candidates simultaneously, broadening the pipeline without adding headcount or increasing individual workload.
Improved consistency of assessment AI-assisted screening applied consistent criteria across all incoming applications, reducing the variability that can occur with manual review at high volume and improving the quality of shortlists presented to clients.
A more scalable recruitment operation The automated workflow gave the business the capacity to take on a higher volume of roles without a proportional increase in administrative resource, supporting growth without compromising the quality of delivery.
Summary
The client implemented AI-assisted recruitment workflows that removed the manual burden from screening, outreach and coordination while keeping recruiters in control of the decisions that mattered. Placement cycles shortened, candidate engagement increased and the business established a more efficient and scalable model for delivering on client mandates.
